Job Description

Part‑Time Administrative Assistant (Ozarks Public Health Institute) This is a grant‑funded position through December 2027. Continuation is dependent on additional funding. This is a part‑time position at 20 hours a week. Hours will typically fall between 8:00 a.m. and 4:00 p.m., Monday through Friday, with some flexibility. Position Information Work Location: Springfield Campus Department: Ozarks Public Health Institute Pay Grade: Unclassified Proposed Salary: $18.00 – $21.96 per hour Sponsorship Information: Applicants must be authorized to work in the United States on a full‑time basis. This position is not eligible for work‑visa sponsorship. General Function The Administrative Assistant supports program managers and supervisors, and the department with moderately complex administrative duties. The role includes storing and retrieving information, conducting administrative activities, and serving as the first point of contact for the department with students, faculty, staff, partners, and the public. Primary Duties Provide administrative support by providing reception services, scheduling appointments and meetings, coordinating travel, filing, maintaining an organized digital file system, preparing and proofreading correspondence and reports, tracking inventory, and managing office supplies. Create digital and print communications and marketing materials as requested. Implement and maintain a social media strategy for CF and OPHI. Manage the intake and assignment process for student and faculty research projects. Process and recommend placement for students seeking GA positions, research projects, volunteer work, or internships. Review and verify student time records. Keep projects organized and on schedule to ensure deliverables are met on time. Assist with internal communication and occasional community‑facing tasks. Generate reports as requested. Perform other duties as assigned. Minimum Acceptable Qualifications Associate’s degree or high school diploma or equivalent with two years of office experience. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint). Familiarity with Facebook, Instagram, LinkedIn. Experience with design platforms such as Canva. Excellent written and verbal communication skills. Creative, enthusiastic, friendly, strong team player. Self‑starter who takes initiative, asks thoughtful questions, and enjoys learning. Strong attention to detail and excellent time management skills. Marketing and communications skills. Experience organizing volunteer groups or supporting community projects.
