Event Marketing & Client Experience Coordinator Location: Greater Murrieta, CA Area Compensation: $60,000–$75,000 base salary plus performance-based bonus About the Opportunity A successful and growing independent wealth management firm is seeking an organized, proactive, and detail-oriented Event Marketing & Client Experience Coordinator to support its seminar marketing and client engagement programs. This role is focused primarily on event planning, logistics, marketing coordination, guest communications, and administrative execution. The Event Marketing & Client Experience Coordinator will manage the behind-the-scenes details of educational seminars, prospect events, and large-scale client appreciation programs while helping ensure each initiative is delivered accurately, efficiently, and on schedule. Regular attendance at evening seminars is not required, although occasional participation in larger client events or important firm programs may be requested. Key Responsibilities Manage the annual calendar of educational seminars, prospecting events, and client appreciation programs. Coordinate approximately 40 prospect dinner seminars, 12 educational client seminars, and several large client appreciation events annually. Research and coordinate venues, catering, audiovisual services, room layouts, signage, materials, and other logistical requirements. Maintain strong relationships with venues, vendors, marketing partners, and external service providers. Negotiate pricing and service terms while ensuring vendors meet established expectations and deadlines. Coordinate invitations, direct mail campaigns, promotional materials, and event communications with outside marketing partners. Manage RSVP lists, attendance tracking, confirmation calls, reminders, cancellations, waitlists, and guest communications. Monitor registration and attendance trends and recommend strategies to increase participation. Prepare event schedules, checklists, vendor instructions, and internal briefing materials. Maintain accurate event, prospect, and attendee information within the firm’s CRM. Track event expenses, maintain budgets, process invoices, and reconcile vendor costs. Ensure marketing materials and event communications are accurate and distributed on schedule. Analyze attendance, engagement, and event performance. Prepare reports for leadership and recommend improvements to future programs. Coordinate post-event communications and follow-up activities with advisors and internal teams. Maintain organized event files, contracts, templates, records, and planning resources. Support additional marketing, client experience, and business development initiatives as needed. Qualifications At least three years of experience in event planning, marketing coordination, hospitality, client service, project coordination, or a related field. Strong organizational skills with the ability to manage multiple events and deadlines simultaneously. Experience coordinating venues, vendors, catering, audiovisual services, and event logistics. Excellent written and verbal communication skills. Strong attention to detail and consistent follow-through. Ability to anticipate potential challenges and develop practical solutions. Comfortable communicating with clients, prospects, vendors, and internal leadership. Experience maintaining budgets, processing invoices, and tracking event expenses. Proficiency with Microsoft Office applications. Experience working with CRM systems or event-management platforms. Ability to work independently in a fast-paced, client-focused environment. Preferred Background Experience supporting seminars, educational events, conferences, dinner programs, or client appreciation events. Background in financial services, wealth management, professional services, hospitality, or another high-touch client environment. Experience coordinating direct mail, invitation campaigns, and event marketing initiatives. Familiarity with CRM data entry, attendance reporting, and event-performance analysis. Experience working with outside marketing agencies or lead-generation partners. Compensation and Benefits Base salary of $60,000–$75,000, depending on experience. Performance-based bonus opportunity.
