Job Description

Police Clerk

All applicants for positions assigned to the Police Department will undergo a background investigation. The background investigation consists of a comprehensive police investigation that includes, but is not limited to, a credit review, polygraph, character reference check, and a psychological and medical examination. The Chief of Police shall make official hiring appointments.

Under close supervision, receives, prepares, inputs, files, and maintains police documents, including complaints, citations, declarations, court orders, and crime/arrest and traffic reports. The below list of tasks is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and tasks performed by positions in this class.

TASKS

  • Summarizes police record data, including crimes and booking information;
  • Performs data entry and retrieval of information in computer databases;
  • Collects fees and fines for services including vehicle release, information research, photographs, and clearance letters;
  • Prepares and files documents for purge, retention, sorting, and classification;
  • Reviews archived documents for accuracy and legibility before hard copy destruction;
  • Prepares bail/bond transmittals and citations for courts;
  • May Livescan and submit prints to the Department of Justice;
  • Monitors incoming teletypes to respond to Hit Confirmation notices within a specific mandated time frame;
  • Responds to counter, telephone, and facsimile requests;
  • May assist in the training of new employees.

QUALIFICATIONS

A high school diploma or equivalent, AND one (1) year of recent paid work experience performing responsible clerical duties to include public contact work. Experience working in a law enforcement environment is desirable.

KNOWLEDGE, SKILLS, AND OTHER CHARACTERISTICS

  • Knowledgeable of applicable City, county, state, federal statutes, rules, ordinances, codes, and regulations governing law enforcement, safety rules and regulations; record and file management, quality community relations, and customer service techniques and methods; Modern office procedures, practices, and equipment, business English, spelling, and punctuation, basic arithmetic, and effective customer service techniques.
  • Skilled in completing computer-generated reports and other data, providing and following oral and written communications, and establishing and maintaining productive working relationships; Reading, writing, and communicating in English at an appropriate level.
  • Ability to solve day-to-day issues, exercise good judgment in routine and stressful situations, demonstrate strong attention to detail, and perform essential duties accurately and professionally. Must be able to adapt to changing working conditions as needed and quickly learn new tasks as required;
  • Proficient in using a personal computer and other electronic devices, including the MS-Office package, Word, Excel, Outlook, and other industry-related software.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

Work is performed in an office environment. Work requires vision (which may be corrected) to read the small print, mobility to stand, stoop, reach, and bend; mobility of arms to reach and dexterity of hands to grasp and manipulate small objects; ability to sit for long periods may be required to perform lifting or pulling not exceeding 50 pounds.
