Job Title: Administrative Aide

Location: Chicago, IL

Compensation: $20–22/hour

Work Schedule: Monday – Friday, 8:30 AM – 5:00 PM, Hybrid schedule: In-office 2 days

Job Description:

The Administrative Aide will provide comprehensive support across multiple teams, assisting with administrative coordination, data management, and event logistics. This role requires a detail-oriented individual who thrives in a fast-paced environment and can adapt to varying workflows while supporting multiple stakeholders.

Key Responsibilities:

  • Provide day-to-day administrative support including scheduling, correspondence, and document preparation
  • Assist with tracking expenses, maintaining calendars, and supporting internal processes
  • Support event coordination efforts including registration management, materials preparation, and on-site assistance
  • Enter, update, and maintain data within CRM systems, ensuring accuracy and completeness
  • Generate reports and assist with data analysis projects as needed
  • Collaborate with internal teams to support ongoing initiatives and special projects
  • Serve as a point of contact for inquiries, providing professional and timely customer service
  • Participate in system trainings and continuously build knowledge of internal tools and processes
  • Assist with post-event follow-up activities and reporting

Qualifications:

  • Minimum of 1 year of experience in an administrative or professional office setting
  • Experience with data entry, reporting, or database management
  • Strong organizational skills with high attention to detail
  • Ability to manage multiple priorities and adapt to different team processes
  • Proficiency in Microsoft Office, including Excel and Outlook
  • Strong written and verbal communication skills
  • Comfortable working collaboratively and providing excellent customer service
  • Willingness to learn new systems and take initiative
